Privacy notice: WebJunction webinars
Thank you for participating in WebJunction webinars hosted by OCLC, Inc. or its affiliate (“OCLC”, “we”, “our” and “us) and for agreeing for the webinar to be recorded in an audio and/or video format. This notice is designed to provide you with information about how we, as the data controller of any personal data which we collect about you during the interview, will use and protect that personal data and the rights you may have under applicable laws.
The purpose of the webinar is as follows:
OCLC is conducting webinars in order to educate the library community and other interested parties on important library-related topics. During the interactive portion of the webinar, participants may ask questions of the webinar presenters, using the chat feature. OCLC may use the data collected during the webinar for improving our products and to educate the webinar audience.
What personal data may be collected and how will we use it?
During the webinar registration and the webinar itself, we may collect the following:
OCLC may collect your name, job title and the library that you work for, and any feedback you provide, which will be in the form of audio and/or video-recorded interactions during the webinar as well as written comments you may contribute, as well as responses to live polling.
The webinar will be recorded. You do not have to provide us with any of your personal data. Your participation in the webinar and the information you provide is entirely voluntary. You may discontinue your participation at any time.
We will use the data for the following legitimate interests:
OCLC may use the data for improving our products and educating the library community through posting a recording of the webinar on OCLC’s WebJunction site.
Who will your personal data be disclosed to?
Your personal data may be disclosed as follows:
OCLC may disclose the personal data to any OCLC personnel who are responsible for improving our products, such as product managers and developers, as well as publicly through the public display of the recordings on the WebJunction site as well as to state libraries. Your personal data may be stored in OneDrive and/or Sharepoint, provided by Microsoft Corporation. OCLC may use Webex, provided by Cisco Systems, Inc., Sharepoint, provided by Microsoft Corporation, Miro, Moodle, and/or Zoom, for the recording and/or storage of recordings.
Webinar participants and/or hosts may be located in the United States or other country outside of the European Economic Area (“EEA”). OCLC is a global organization, and some or all of the personnel who may receive or have access to your personal data may be located outside the EEA, such as in the US. If your personal data is transferred to, or accessed outside of the EEA, then OCLC has Standard Contractual Clauses in place, to ensure that personal data is protected in line with European data protection laws. Retention of Data and Security
We will only retain your personal data for as long as is necessary for the purposes set out above, and in no case longer than three (3) years. When we no longer need your personal data for those purposes, we will destroy, delete or erase it, or convert it into anonymous form.
We take the security of the personal data we process very seriously. We will use appropriate technical and organisational measures to protect your personal data, which are appropriate to the risks that may result from its unauthorised use or disclosure.
Your Rights
If you are physically located in the European Union and subject to certain exceptions and limitations, you have the following rights to request:
- access to the personal data we hold about you, including a copy of the personal data;
- the correction of the personal data that we hold about you if incomplete or inaccurate;
- the deletion or removal of personal data we hold about you where there is no good reason for us continuing to process it or where you have exercised your right to object to processing (see below);
- for our processing of your personal data to be restricted in certain circumstances, for example if you want to establish its accuracy or the reason for processing it;
- and to obtain a copy of the personal data you’ve provided us with and to reuse it elsewhere or to ask us to transfer it to a third party of your choice.
Where we are processing your personal data on the basis of our legitimate interests, you can ask us to stop processing it. We must do so unless we have overriding compelling legitimate grounds to continue processing your personal data or we need to process the personal data for the establishment, exercise or defense of legal claims.
You also have the right to lodge a complaint with a supervisory authority and seek a judicial remedy.
